Teams Deployment

A Microsoft Teams deployment sets up Teams as a deliberate workspace for chat, meetings, calling and shared files, rather than letting it grow by accident. Umbrella Tech designs team structures, naming, guest access and lifecycle settings, integrates Teams with SharePoint and Microsoft 365, and supports staff through the change, so your organisation has clear conventions and a documented management approach.

The problem

The challenge we help you address

Rapid adoption can leave an organisation with duplicate teams, unclear guest access and documents spread across poorly owned spaces. Users need conventions that make sense in their daily work.

The outcome

What the engagement should deliver

You gain a Teams environment with clearer working conventions and a documented management approach. Security and information ownership are considered alongside the user experience.

How we can help

Collaboration design

Define team and channel structures, naming and ownership.

Governance and configuration

Set creation, guest access, retention and lifecycle policies appropriate to the organisation.

Meetings and rooms

Configure meeting policies and plan Microsoft Teams Rooms and devices where needed.

Adoption

Pilot working patterns, train users and document administrative responsibilities.

Adding a Teams phone system

Teams Phone adds business calling to Teams and connects to the public phone network through Microsoft Calling Plans, Operator Connect or Direct Routing. A Teams phone system has its own licensing, number porting and call flow design, so we scope it separately; see Teams Phone & Business Calling. At Santa Maria College, we report Teams call quality through the Microsoft Graph API so poor calls can be traced to a person and a time.

Frequently asked questions

Can't see your question? Ask us directly →

What is a Microsoft Teams deployment?

It is the planning and configuration of Teams for your organisation: structures, policies, guest access, integration with SharePoint and OneDrive, and support for users. A Microsoft Teams setup done this way is easier to govern as it grows.

When should a business use it?

When moving to Microsoft 365, when Teams has grown into many unused or duplicate teams, or when guests and external partners need controlled access.

Does this include a Teams Phone system?

Calling requirements can be explored during scoping. A Teams Phone project has separate licensing, connectivity, number porting and support considerations, which are confirmed before delivery.

How long does a Teams implementation take?

It depends on the number of users and teams, whether existing teams need restructuring, the meeting room and device scope and how much training is needed. Scope and timing are confirmed in discovery.

What are the main security or governance considerations?

Guest and external access settings, who can create teams, retention of chats and files, and the sensitivity of information shared in channels. Because Teams files live in SharePoint, these settings connect to your Microsoft 365 Security configuration.
