SharePoint Migration

SharePoint migration moves files and content from file servers, older SharePoint versions, other cloud storage or another tenant into SharePoint Online. Umbrella Tech plans the target structure first, then migrates content into governed libraries with clear owners, permissions and metadata, so your people can find their work and you have a record of exactly what moved.

The problem

The challenge we help you address

Copying an old folder structure into a new platform can preserve its problems. Duplicate files, obsolete material and inherited access need to be understood before they become part of the target environment.

The outcome

What the engagement should deliver

The outcome is an organised transition with a clear record of what moved, how access was handled and who owns the resulting content. Staff guidance helps people use the target structure consistently.

How we can help

Content discovery

Inventory source locations, owners, sensitive material, long file paths and other migration constraints.

Clean-up decisions

Work with owners to archive or delete obsolete and duplicate content before it moves.

Target preparation

Design sites, libraries, metadata, permissions and migration rules.

Transfer and verification

Pilot the process, validate agreed content and access, and record migration exceptions.

File server to SharePoint migration

A file server to SharePoint migration is the most common scenario. Deep folder trees, broken permission inheritance and files used by line-of-business applications do not translate directly, so we decide which content belongs in SharePoint, which suits Teams or OneDrive and which needs another home. Microsoft tools such as the SharePoint Migration Tool and Migration Manager handle many transfers; the planning around them is where most of the work sits.

What is SharePoint migration?

It is the move of content into SharePoint Online, usually from file servers, on-premises SharePoint or another cloud service, together with the structure, permissions and metadata that make it usable.

When should a business use it?

When a file server is due for replacement, remote access to shared drives is awkward, or content is spread across several platforms. It is also a common step before adopting Microsoft 365 Copilot.

Is a file server to SharePoint migration always appropriate?

It depends on the content and applications involved. We identify which material fits SharePoint, which needs another destination and which dependencies must be resolved before migration.

How long does a migration take?

It depends on the volume of content, the number of sources, how many clean-up decisions owners need to make and available bandwidth. Scope and timing are confirmed in discovery.

What are the main security or governance considerations?

Sensitive content should be identified before it moves, permissions rebuilt around groups rather than copied blindly, and every library given an owner. Our Microsoft 365 Security service can apply Microsoft Purview sensitivity labels where they are needed.
